This past summer, I began working with a new software program with one of Third Hand Secretarial Service’s clients. The software, called ShareO, was developed by 4 Team Corporation.
This is a great software tool for virtual assistants because it allows us to schedule an appointment which automatically emails the calendar update to the client displaying the new appointment on their calendar. There is no need to synchronize files or email .pst files – the program emails the appointment and inserts it directly into the client’s calendar.
Both the virtual assistant and client must have this software and use Microsoft Outlook 2000, 2002, or 2003 for email (the VA and the client can use different versions) in order for the program to work.
ShareO allows users to share and synchronize data in their Microsoft Outlook folders, such as the calendar, contacts, tasks, and notes information. It also allows users to share any windows documents with their co-workers without a server expense. This is great if you work closely with someone and need to know his or her availability for joint sales calls.
If you only want to share the Calendar, then ShareCalendar is for you. There is another version called ShareContacts which allows you to synchronize just your contact list with another user.
